Administrative Assistant to the Assistant Superintendent

ADMINISTRATIVE ASSISTANT TO THE ASSISTANT SUPERINTENDENT

** JOB GOAL**:

Assist the Assistant Superintendent in the daily operation of the district and the necessary planning, implementing, directing and maintaining district programs by providing a wide variety of complex and confidential administrative and secretarial support.

SPECIAL KNOWLEDGE/SKILLS

1.      Knowledge, understanding and demonstrated aptitude or competence in the performance responsibilities listed below.

2.      Must possess strong organizational skills as well as the ability to handle multiple projects professionally.

3.      Demonstrated ability to exercise independent judgment, prioritize tasks and work independently with a high degree of accuracy.

4.      Demonstrated computer skills.

5.      Must be team oriented with excellent interpersonal and communication skills.

6.      Must be willing to participate in ongoing in-service training as requested.

7.      Must maintain a high level of ethical behavior and confidentiality of information as required by law.

JOB DESCRIPTION

The Assistant will assist the Assistant Superintendent in his/her daily needs including meeting support, phone call management, visitor management, correspondence as needed and performing other tasks and assume other responsibilities of other assigned tasks and projects, as assigned. All will be performed with the utmost confidentiality and discretion.

In addition, the Assistant will provide on-going support and assistance to the Assistant Superintendent and the Middletown Public Schools for:

·         Curriculum, instruction and assessment including but not limited to local assessment configuration and routine maintenance, local data warehouse, standards based report card configuration, ** Budgeting and purchasing for academic and technology services department **including but not limited to gathering quotes, creating requisition, maintaining budget records.

·         ** Public relations/communications/website including but not limited to account management for staff websites, district website staff directory maintenance, back up for district and school calendars.

·         ** Program & services planning, implementing & monitoring **including but not limited to importing screening data for nurses, support of electronic PLPs, 504s, IEPs and special education reporting, scheduling reporting.

·         Professional development including but not limited to meeting planning support, monitoring for substitute coverage, sign in information, allocation of grant dollars for payment of staff and/or subs.

·         Audio Visual Department including but not limited to support for copiers and their network functions and other back up function, as needed.

·         Data Management & State Reporting including but not limited to data entry, user accounts for all systems, staff absences and sub system support, curriculum and assessment system support, lunch system and bus system support student information system support and custom reporting, assist with state reporting for student enrollment, attendance, discipline, special education, early intervening services, staff data, course teacher student rosters.

·         Technology Services including but not limited to back up for: Technology Help Desk, work order system comptroller, technology inventory management, small parts management.

·         Grants/Consolidated Resource Plan/ERATE including but not limited to support for Title I, Title II, Title III, IDEAB, Preschool, McKinney Vento application details, budgets, requisition, private school communication and planning with respect to all federal programs.

·         Personnel/Human Resources including but not limited to data management for student information system staff members, AESOP, RI Department of Education certification office.

·         Phone System & Network Management including but not limited to management of network/email accounts and security and other back up functions, as needed.

·         Perform tasks or services consistent with the job goal of the position.

·         Assume other duties as may be assigned by the Assistant Superintendent.
