RESOLUTION

WHEREAS: The Director of Public Services requested sealed bid proposals for Fleet Management and Maintenance Services, Bid # 2025-PS-007, with bid proposals received on December 2, 2024; and

WHEREAS: Award has been recommended to the sole bidder, First Vehicle Services Inc., of Lombard, IL, at the not to exceed annual target bid price of $855,998.58 for the first two years of the contract with annual increases thereafter limited, per the contract language, to the lowest of three variable indices: 1) Bureau of Labor Statistics - CPI for All Urban Consumers – US city average – Motor vehicle maintenance and repair; 2) Bureau of Labor Statistics - CPI for All Urban Consumers – US city average – Motor vehicle parts and equipment; or 3) 2.5%. The contract will span a period of six years with two possible 2-year extensions for a maximum, possible contract life; and

WHEREAS: Award further includes additional costs for directed and emergency work per the approved bid price of $58.20 per hour for labor in addition to costs associated with parts and materials. NOW, THEREFORE, BE IT

RESOLVED: That the bid proposal of First Vehicle Services, Inc., of Lombard, IL, is hereby accepted inclusive of 1) approval of a total not to exceed first 2-year target cost of $855,998.58 with future-year not to exceed total target cost expenditures based upon the contract language; and 2) approval of additional costs for directed and emergency work per the approved labor rate of $58.20 per hour and associated with parts and materials, as necessary, for a not to exceed directed and emergency work annual total of $100,000.00, and the Council Chair is authorized to sign said contract on behalf of the City, subject to favorable review by the City Solicitor.
